Contract discounts - Overview

Introduction

This is an overview of the contract discount module, this will allow you to create a contract discount on a club members contract for joining fee, administration fee, prorata and membership fees.

A contract discount cannot be used multiple times on a single contract.

Contract discounts on enrolments (courses) are only available in PGM, not CP2.

Before you start

The following permissions is required to use the contract discount module, this is found in PGM->Clubs->System Permissions.

Feature description

Go to PGM->Sale->Contract Discounts to access the contract discount module.

This will load up the contract discount screen.

Search

Name - Search for a discount by part of name.

Only active and currently available - Only filter to contracts discounts which are active and todays date is within the valid for period.

Press the search icon to filter to the values used in the search.

Edit - Edit the contract discount.

Any edits to a contract discount will affect contracts using this contract discount.

Is Active - If ticked, the contract discount can be used. If unticked, the contract discount will not be used.

This is only when applying the discount to a new or existing contract. If you make a contract discount inactive, this will not cause existing contract discounts to be removed.

Name - Name of the contract discount.

If the contract discount is in black colour text, these are actives. and within the valid for periods. If the contract discount is in grey colour text, these are inactive and cannot be sold.

Bin icon - Delete the contract discount.

Any contract discounts which have been used cannot be deleted.

Add new contract discount type - This will allow you to create a new contract discount, further down this article will describe each setting.

Refresh - Refresh the current screen.

Add/Edit contract discount

After pressing Add new contract discount type, you will be presented with the following screen allowing you create a new contract discount. A similar screen will be presented for editing an existing contract discount type.

A contract discount cannot be used multiple times on a single contract.

Name - Create a unique name for the contract discount.

Is active - This will allow you to make a contract discount available to be applied on a contract or not.

This setting is used in conjunction with valid for periods.

Membership fee

Contract discounts on membership fees will reduce the membership fee based on amount or percentage or by changing to a fixed price.

There are three types of contract discounts listed within membership fee: Pro-rata is covered in its own section

Month - Reduce all membership fees within a calendar month.
Interval - Reduce a membership fee on a recurring billing interval. The interval is set on the payment plan in PGM->Sale->Payment Plans.

Permanent - Reduce all membership fees on the contract. This affects all contract transactions, including past and future transactions.

There are three ways a contract discount can be applied to a membership fee.

Fixed price - This will override the membership fee to the price in the contract discount. If the price is modified using the membership fee price modification, the fixed price contract discount will not be modified.
Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00. If the membership fee is $20.00 per interval, and the contract discount is lowered by $2.00, the price will be set to $18.00.
Percentage - This will discount the membership fee by the percentage listed in the contract discount. If the membership fee is $20.00 per interval, and the contract discount is 50%, the price will be set to $10.00.

In contract transactions, the description will display the name of the contract discount.

Listed below is how each one operate.

Chosen interval scope for fixed amount

This will allow you to choose a period of time between intervals where the membership fee will be fixed to a set price on the contract discount.

Amount - This will override the membership fee to the price in the contract discount.

This contract discount can only be applied on PGM or POSWeb as its up to the employee to select the interval range.

If this contract discount is used on client portal, it will apply the contract discount without any set intervals. Edit the contract to add the intervals in on PGM.

Chosen interval scope lower by amount

This will allow you to choose a period of time between intervals where the membership fee will be lowered by the amount set in the contract discount.

Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.

This contract discount can only be applied on PGM or POSWeb as its up to the employee to select the interval range.

If this contract discount is used on client portal, it will apply the contract discount without any set intervals. Edit the contract to add the intervals in on PGM.

Chosen interval scope lower by percent

This will allow you to choose a period of time between intervals where the membership fee will be discounted by the set percentage in contract discount.

Percentage - This will discount the membership fee by the percentage listed in the contract discount.

This contract discount can only be applied on PGM or POSWeb as its up to the employee to select the interval range.

If this contract discount is used on client portal, it will apply the contract discount without any set intervals. Edit the contract to add the intervals in on PGM.

Chosen interval set at fixed value

This will allow you to choose a single interval where the membership fee will be set to the fixed price in the contract discount.

Amount - This will override the membership fee to the price in the contract discount.

This contract discount can only be applied on PGM or POSWeb as its up to the employee to select the interval.

If this contract discount is used on client portal, it will apply the contract discount without any set interval. Edit the contract to add the interval in on PGM.

Free interval after

This contract discount will modify the membership fee to be free for a set number of intervals.

Number of free intervals - How many intervals will be free.
After how many intervals - After what interval the contract discount will start. If this is set at 0, then the contract discount will activated for the first number of intervals.

In the example below, the contract will have interval number 3 and 4 free (08/02/2021,22/02/2021) after the first two intervals have past (11/01/2021, 25/01/2021). The 01/01/2021 charge is Joining/Admin fee and he 05/01/2021 charge is pro-rata.

This is recommended to use on client portal if you are offering free intervals as there is no editing required to determine when to start the discount.

Free intervals after chosen by user

This contract discount will modify the membership fee to be free for a set number of intervals, this is set by the employee within PGM or POSWeb.

Number of intervals - How many intervals will be free.

In the example below, the contract will have interval number 3 and 4 free (08/02/2021,22/02/2021) after the second interval (25/01/2021). The 01/01/2021 charge is Joining/Admin fee and he 05/01/2021 charge is pro-rata.

If this contract discount is used on client portal, it will apply the contract discount without any set interval. Edit the contract to add the interval in on PGM.

Free month after

This contract discount will provide free months of membership fees after a set period of months have passed.

Number of free months - How many months will be free.
After how many months - After what month the contract discount will start. If this is set at 0, then the contract discount will activated for the first month of the contract.

In the example below, the contract will have the 3rd month free after the first two months have past (January/February). The 01/01/2021 charge is Joining/Admin fee and he 05/01/2021 charge is pro-rata.

This is recommended to use on client portal if you are offering free intervals as there is no editing required to determine when to start the discount.

Free months after month chosen by user

This contract discount will modify the membership fee to be free for a set number of months, this is set by the employee within PGM or POSWeb.

Number of free months - How many months will be free.

In the example below, the contract will have the 3rd month free (March) selected by the employee. The 01/01/2021 charge is Joining/Admin fee and he 05/01/2021 charge is pro-rata.

If this contract discount is used on client portal, it will apply the contract discount without any set interval. Edit the contract to add the interval in on PGM.

Lower by amount

This will lower the membership fee by the amount used in the contract discount.

Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.

This will apply to all transactions in the past and future, it is recommended to only use this contract discount at the start of the contract. This contract discount is for the life of the contract and cannot be stopped. If you wish to remove it, it is recommended to auto-renew the contract and not apply a contract discount to the new contract.

Lower by amount for last months

This contract discount will lower the membership fees for the last months of the contract. The contract must have an end date in order for this to work.

Only suitable for payment plans with monthly recurring intervals.

Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.
Number of months - Select how many months the contract discount will override the last x months of membership fee from the end date of the contract.

In the example below, the membership fee will be lowered by $20.00 for the last 2 months of the contract.

If the end date is modified, the contract discount will be recalculated to the new dates. If the end date is removed, the membership fees will not be discounted.

Lower by percent

This will lower the membership fee by the percentage used in the contract discount.

Percentage - This will discount the membership fee by the percentage listed in the contract discount.

Lower by percent for number of first intervals

This contract discount will lower the membership fees for the first number of intervals of the contract.

Percentage - This will discount the membership fee by the percentage listed in the contract discount.
Number of intervals - Select how many intervals the contract discount will apply.

In the example below, the membership fee is reduced by 20% for the first 5 intervals of the contract.

The charge on 01/01/2021 is the joining fee/administration fee and the charge on 05/01/2021 is the pro-rata fee.

This is recommended to use on client portal if you are offering free intervals as there is no editing required to determine when to start the discount.

Lower by percent for number of first months

This contract discount will lower the membership fees for the first number of months of the contract.

Percentage - This will discount the membership fee by the percentage listed in the contract discount.
Number of months- Select how many months the contract discount will apply.

In the example below, the membership fee is reduced by 20% for the first 2 months of the contract.

The charge on 01/01/2021 is the joining fee/administration fee and the charge on 05/01/2021 is the pro-rata fee.

This is recommended to use on client portal if you are offering free intervals as there is no editing required to determine when to start the discount.

Lower by percent for number of last months

This contract discount will lower the membership fees for the last months of the contract. The contract must have an end date in order for this to work.

Only suitable for payment plans with monthly recurring intervals.

Percentage - This will discount the membership fee by the percentage listed in the contract discount.
Number of months - Select how many months the contract discount will override the last x months of membership fee from the end date of the contract.

In the example below, the membership fee will be lowered by 20% for the last 2 months of the contract.

If the end date is modified, the contract discount will be recalculated to the new dates. If the end date is removed, the membership fees will not be discounted.

Lower for number of first intervals

This contract discount will lower the membership fees for the first number of intervals of the contract.

Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.
Number of intervals - Select how many intervals the contract discount will apply.

In the example below, the membership fee is reduced by $5.00 for the first 2 intervals of the contract.

Lower for number of first months

This contract discount will lower the membership fees for the first number of months of the contract.

Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.
Number of months- Select how many months the contract discount will apply.

In the example below, the membership fee is reduced by $5.00 for the first 2 months of the contract.

Lower on given intervals by amount

This contract discount will lower the membership fees for the set interval number defined in the table.

In amounts, press the edit icon, this will produce a new screen.

To add a new record, press add new record, then fill in the interval number and the value. Press the tick icon to complete that interval line.

Interval - Select which interval number the membership fee will be reduced.
Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.

In the example below, the membership fee is reduced by $5.00 for the first interval, reduced by $10.00 for the second interval, and reduced by $20.00 for the third interval.

The charge on 01/01/2021 is the joining fee/administration fee and the charge on 05/01/2021 is the pro-rata fee.

Lower on given intervals by percent

This contract discount will lower the membership fees for the set interval number defined in the table.

In amounts, press the edit icon, this will produce a new screen.

To add a new record, press add new record, then fill in the interval number and the value. Press the tick icon to complete that interval line.

Interval - Select which interval number the membership fee will be reduced.
Percentage - This will discount the membership fee by the percentage listed in the contract discount.

In the example below, the membership fee is reduced by 10% for the first and second interval and reduced by 20% for the third interval.

Month chosen by user for fixed amount

This contract discount will modify the membership fee to be a fixed value for a single month. This is set by the employee within PGM or POSWeb.

Amount - This will override the membership fee to the price in the contract discount.

In the example below, the contract will have the month of March using the contract discount. The 01/01/2021 charge is Joining/Admin fee and he 05/01/2021 charge is pro-rata.

If this contract discount is used on client portal, it will apply the contract discount without any set interval. Edit the contract to add the interval in on PGM.

Month chosen by user lower by amount

This contract discount will modify the membership fee to be lowered by the amount for a single month. This is set by the employee within PGM or POSWeb.

Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.

In the example below, the contract will have the month of March using the contract discount. The 01/01/2021 charge is Joining/Admin fee and he 05/01/2021 charge is pro-rata.

Month chosen by user lower by percent

Set at fixed value

This will change the membership fee to the fixed value.

Amount - This will override the membership fee to the price in the contract discount.

Since interval chosen by user lower by amount

This will lower the membership fee from a set interval chosen by the employee in PGM or POSWeb.

Once added, this cannot be ended unless the contract is ended.

Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.

In the example below, the contract discount will apply from interval number 3 and apply to all membership fees generated after this interval.

If this contract discount is used on client portal, it will apply the contract discount without any set interval. Edit the contract to add the interval in on PGM.

Since interval chosen by user lower by percent

This will lower the membership fee from a set interval chosen by the employee in PGM or POSWeb.

Once added, this cannot be ended unless the contract is ended.

Percentage - This will discount the membership fee by the percentage listed in the contract discount.

In the example below, the contract discount will apply from interval number 3 and apply to all membership fees generated after this interval.

Since month chosen by user lower by amount

This will lower the membership fee from a month chosen by the employee in PGM or POSWeb.

One added, this cannot be ended.

Amount - This will lower the membership fee by the amount listed in the contract discount. If the amount goes lower then the membership fee. The membership fee will be set at $0.00.

In the example below, the contract discount will apply from March and apply to all membership fees generated after this interval.

If this contract discount is used on client portal, it will apply the contract discount without any set interval. Edit the contract to add the interval in on PGM.

Increase by percent since month chosen by user

This will increase the membership fee from a month chosen by the employee in PGM.

Percentage - this will insrease the membership fee by the percentage listed in contract discount.

Since month chosen by user lower by percent

This will lower the membership fee from a month chosen by the employee in PGM or POSWeb.

One added, this cannot be ended.

Percentage - This will discount the membership fee by the percentage listed in the contract discount.

In the example below, the contract discount will apply from March and apply to all membership fees generated after this interval.

If this contract discount is used on client portal, it will apply the contract discount without any set interval. Edit the contract to add the interval in on PGM.

Until chosen interval set at fixed value

This contract discount will modify the membership fee to a fixed price for the first number of intervals of the contract chosen by the employee in PGM or POSWeb.

Amount - This will override the membership fee to the price in the contract discount.

In the example below, the membership fee is fixed to $20.00 for the first 5 intervals of the contract.

The charge on 01/01/2021 is the joining fee/administration fee and the charge on 05/01/2021 is the pro-rata fee.

If this contract discount is used on client portal, it will apply the contract discount without any set interval. Edit the contract to add the interval in on PGM.

Admin Fee

The admin fee can be modified on a contract using a contract discount.

Fixed price - This will override the admin fee to the price in the contract discount.
Amount - This will lower the admin fee by the amount listed in the contract discount. If the amount goes lower then the admin fee. The admin fee will be set at $0.00. If the admin fee is $20.00 and the contract discount is lowered by $2.00, the price will be set to $18.00.
Percentage - This will discount the admin fee by the percentage listed in the contract discount.

Joining Fee

The joining fee can be modified on a contract using a contract discount.

Fixed price - This will override the joining fee to the price in the contract discount.
Amount - This will lower the joining fee by the amount listed in the contract discount. If the amount goes lower then the joining fee. The joining fee will be set at $0.00. If the joining fee is $20.00 and the contract discount is lowered by $2.00, the price will be set to $18.00.
Percentage - This will discount the joining fee by the percentage listed in the contract discount.

Membership fee during pro rata

The pro-rata fee can be modified on a contract using a contract discount.

Fixed price - This will override the pro-rata fee to the price in the contract discount.
Amount - This will lower the pro-rata fee by the amount listed in the contract discount. If the amount goes lower then the joining fee. The joining fee will be set at $0.00. If the pro-rata fee is $20.00 and the contract discount is lowered by $2.00, the price will be set to $18.00.
Percentage - This will discount the pro-rata fee by the percentage listed in the contract discount.

Modify commitment time

This will allow you to modify the commitment period of a contract based on either months or intervals. This figure can be set as positive value (to extend) or a negative value (to shorten).

This can be used in a situation where you want to give your members free time at the start of the contract using 'Free month after', however want to extend their minimum commitment period to cover the free period. Both settings can be used in the same contract discount.

The following screenshot is a member who has bi-week/fortnightly payment interval with 12 months commitment period without any contract discounts modifications. The following screen shots will display what will each contract discount do.

Payment Plans

This option will restrict which payment plans can use this contract discount.

All current and future payment plans / memberships - This will not restrict which payment plan can get access to this contract discount.
Payment plans - This drop box will display all active payment plans, select which payment plans you wish to have this contact discount be used on. Multiple payment plans can be selected.
Show inactive payment plans - If not selecting all current and future payment plans, selecting this option will display all inactive payment plans on the drop down box.

Access rules

This option will restrict which contracts with the selected access rules can use this contract discount.

This option will only be available to use when 'Payment plans - All current and future payment plans / memberships' is not ticked.

Access rules - This drop box will display all active access rules, select which access rules you wish to have this contact discount be used on. Multiple access rules can be selected.

Clubs

Select which clubs can use this contract discount.

If your club is part of a franchise model, do not select 'All current and future clubs' as this will also allow the contract discount be used in their clubs.

All current and future clubs - This will allow the contract discount be used in all clubs.
Clubs - This drop box will display all clubs, select which clubs you wish to have this contact discount be used on. Multiple clubs can be selected.

Promo code

You can create voucher types and codes to attract club members and guests for promotional campaigns.

Add automatically to automatically renewed contracts

If using Auto-renew within Contracts/Payment Plans. This option will automatically attach the contract discount to the new contract when it gets created.

Valid for periods

Select a date range when the contract discount can be assigned to a contract. This can be on a new contract or an existing contract.

This will not stop an existing contract discount applying that discount to a contract.

To do this, press Add new record, then enter in a date in From and To and press the Tick icon.

Multiple date ranges records can be added.

This is a mandatory field, if you wish to have this permanent, enter in a large range date.

Combine with discounts

This will allow you to choose which discounts can be used together, this will allow better control on what can be applied to a contract.

To add a contract discount, select from the drop down list and press Assign. To remove a contract discount from the list, highlight the contract discount and press Remove.

If you will not use this option, after choosing this Discount, your club members will not be able to use other than this particular Discount during their whole Contract period.

Only for chosen roles

This option will restrict which employees can use the contract discount.

If only for chosen roles is left blank, any employee can use the contract discount. If this is unticked, only the selected employee roles can use the contract discount.

Start packages

This will allow the contract discount be added onto a contract when a starter pack is added to the contract during the contract creation stage. More information about creating starter packs can be found here.

To add a starter package to contract discount, select from the drop down list and press Assign. To remove a starter package from the list, highlight the starter package and press Remove.

Only available for chosen payment methods

The contract discount will be available to contracts with the attached payment source.

If only available for chosen payment methods is left blank, any contract can use the contract discount. If this is unticked, only the selected contracts with the payment source attached can use the contract discount.

Products

This will allow the contract discount be added onto a contract after a product is sold to the club member.

To add a product to contract discount, select from the drop down list and press Assign. To remove a product from the list, highlight the product and press Remove.

Member tags

This will allow selected members with selected tags attached to their profile to gain a contract discount on their contract. More information about client tags can be found here.

To add a member tag to contract discount, select from the drop down list and press Assign. To remove a member tag from the list, highlight the member tag and press Remove.

Only for chosen sources

Select which system can use the contract discount. The ones mentioned below will also display how they work on the system.

Web - PerfectGym (this website) - This will allow the contract discount to be chosen during the contract creation phase on PGM. This will not automatically apply the discount.
POSWeb - This will allow the contract discount to be chosen during the contract creation phase on POSWeb. This will not automatically apply the discount.
ClientPortal - This will automatically add the contract discount during the contract creation phase on client portal. Please select this and ClientPortal2. If you wish to use voucher codes, please ensure this is not selected.
ClientPortal2 - This will automatically add the contract discount during the contract creation phase on client portal. Please select this and ClientPortal. If you wish to use voucher codes, please ensure this is not selected.
Reception Tablet - This will automatically add the contract discount during the contract creation phase on the reception tablet mode of client portal. If you wish to use voucher codes, please ensure this is not selected.
Kiosk - This will automatically add the contract discount during the contract creation phase on the kiosk mode of client portal. If you wish to use voucher codes, please ensure this is not selected.

Hints

A contract discount can have one type of membership fee as well as admin fee, joining fee, membership fee during pro-rata and modify commitment time within the same contract discount.
If you are using client portal to automatically apply the contract discount to the contract during registration, only one contract discount can be used, and this will take the oldest contract discount created on system first.
If you are using voucher codes, only one contract discount can be used for each voucher code.
