Introduction

In this article, you will find the information on how the Classes work in the PGM system. You will find here the detailed description of the most important options and fields that are available to be selected during Classes configuration. If you do not know how to use a given Classes feature, here, you can check its function and in some cases, example of usage. 

Mind, it is not a practical instruction, but the feature description. Use this article as an explanation of the possibilities you have when configuring your Classes. 

  • This article will help you understand the meaning of the fields you have to fill in during the Classes configuration. You will be able to define various parameters, i.e. age limits of class members, costs of class organization, minimum percentage or number of class attendees, or even a penalty fee, which should be added in case of the class cancellation by a member. You will also learn how to add class photos and trainers' photos to provide more information on the club's offer and encourage members' participation. 
  • This article will be helpful to PG Champion, Club Manager, Administrator and Club Owner. 

Feature Description and Basic Instruction

In Perfect Gym, you can create different types of Classes that fit best to your business. You can define in which club a given Class will be available, by use of which module - Client Portal, POSweb, or Perfect Gym GO2 Mobile App - the Class will be available for booking, or which group of club members or guests can attend it

Below, you can find definitions of the most commonly used settings. Mind that only the settings that do not require a custom set up were listed here.

You will start by adding Class category. There are two predefined categories in the system:

  • Additionally paid classes - use this category if you want to charge your members for each class extra. 
  • Classes connected with membership - use this category if you want your members to be able to book Classes without any additional fee, save for the Membership fee. 

If you need a different Class category for your classes than these two, you can also create your own, customized Class category. The instruction in step 1 will show you how to do it. 

The next step is to define the Class type, i.e. Yoga, Spinning, ABT, etc. In this step, you will be able to decide on various parameters, i.e. age limits of attendees, costs of class organization, or penalty fee in case of cancellation by a member. 

The last step will be to add your Classes to the Time Table. Here, you will define the Class start and end time, club zone the Class should take place in and assign a given Fitness Instructor to it. There are also many other options that you can use when configuring your Classes. To learn more, see the definitions below.  

STEP 1

How to add your own Class category? 

1. Go to the PGM -> Classes -> Classes -> Class categories.  

2. Click on the Add class category button. 

3. Fill in all necessary data

  • Name - enter the name of your category.
  • Description - add some more information, i.e. for your employees.
  • Classes are additionally paid - tick this checkbox if you want to additionally charge your members for class booking. 
    • Contract Payment - decide when the member will be charged. You can select between these options: None, In advance, In arrears, On booking date. 
    • Rule for returns on cancellation - create the rule for returns. You can select the following options:  
      • FullRefund - by choosing it, the club member will be able to receive the Payment refund of a full amount payed.  
      • MakeUpProduct - by choosing it, the club member will be able to receive a refund in form of a Product, which may differ from the one he/she has chosen before.  
      • NoRefund - by choosing it, you will not provide any Payment refund option to your club members. 
      • Return - by choosing it, the club member will be able to receive the same product necessary for Class booking. 
      • NoReturn - by choosing it, you will not provide any Product return option to your club members. 

In case of Additionally paid Classes, you can set up certain Products that will be required while booking such Classes. Go to the PGM -> Sale -> Products and decide, if an additional payment will also be connected with other Payments and refunds on cancellation of classes (refunds of product, money, etc).

4. Click on the Save button. 

 

STEP 2

How to set up a class type? 

1. Go to the PGM -> Classes -> Classes -> Class types

In this submenu, you can check the existing class types and their settings. As default, there is a list of most common fitness classes added. You can choose from this list or create your own, personalized class type. 

2. Click on the Add class button in the upper-right corner. A new window will be displayed. 

3. Fill in all necessary information

  • Class Photo - choose a file and upload the Class photo. Click on the Upload button to confirm. If you want to change the existing photo to another one, click on the Overwrite button. You can also delete the already uploaded photo by clicking on the Delete button. 

Max photo dimensions are 1440x904 and maximum file size is 1 MB. 

  • Name - enter the name of the Class.
  • Class category - select the Category from the predefined list.
  • Description - enter the description of the Class.
  • Available in clubs - select the club/s where the Class will be available in. Mind this is not the step where you add the Class to the club Time Table! Here, you only decide if you want to offer such Classes in a particular club. 
  • Availability in Applications - select the application the Class will be available for booking. You can choose from Client Portal, PerfectGym GO2 Mobile app or Kiosk. 
  • Class type - select the Type from the predefined list.
  • Class target - enter the number of attendances needed to reach in a given class for this class to be viable (this setting is optional). 

Additional settings

  • Minimal % of booked - decide if you want to set the percentage limit for class booking. I.e. if set to 60%, the Class will not take place if this percentage of attendees will not book it. 
  • Minimal number of booked - decide if you want to set the limit in number of class attendees booking the class. 
  • Penalty product - this is an advanced option used in case you want to assign a penalty to the member who has booked the class but did not attend it. If you want to enable it, contact the Perfect Gym Support Team via Get Support
  • Age limit - decide if you want to add the minimal age the member has to be at to book the class. 
  • Custom max hours to book in advance - Used for overriding default value from the setting TimeTable.Booking.MaxHoursToBookInAdvance

    This feature will be available in release R85

Translations

You can also add Class name and Description translation. Enter it in the line of a given language. It will be visible during the booking proces on the Client Portal in Class information section and on the Perfect Gym GO2 Mobile app. 

4. Click on the Save button to approve.
