Automation gives you the ability to automatize many things in the system. Thanks to this functionality, you can make your communication to members as personalized as possible to foster more satisfaction.

Feature Description
What is Automation?
Automation allows you to define certain rules to make certain actions on club members' accounts. The most common example is sending automatic notifications. These notifications will be sent when a given situation happens, for example:
You can configure the system to send a notification to club members enrolled on this particular Class when it is cancelled.
What is an Action?
An Action is what the system should do - for example: send a notification in given circumstances. Some selected examples of Actions:
- Send notification
- Add loyalty points to a member
- Assign Tag to member
- Cancel contract
What is an Event?
When the Event occurs, all the automation rules for that Event type are executed.
Some selected examples of Events:
- User has visited club
- User contract has been created
- Product has been sold
- User booked facility
- User birthday
What is a Condition?
This is a criterion which must be met to execute the Action defined in the automation rule. You can create very complex criteria, for example, send a notification to a club employee when a member at >50 years of age visits the club.
What is an Automation rule?
The Automation rule consists of three factors that you select when creating it:
- Event.
- Action which will be automatically executed by the system when the event occurs.
- Optional Conditions which must be met to execute the action.
You can create an automation rule to send a welcome e-mail to members who signed the contract. Additionally, it is possible to use a condition on the member's age, so that a welcome e-mail content can differ depending on the members' age, i.e. informal/formal message tone for younger or older members.
By use of Automation rules, you can define the recipients' group, select the channel by which the notification will be sent and set the time of delivery of the notification.
In an Automation rule configuration flow, you will be able to create a message template and customize it by use of various Tags, in accordance with your needs. Such Tags may be used to add clients' names to e-mail correspondence and personalize the notification content, define a given class start date, a contract amount to be paid, a member's home club name or a credit card expiration date.
Send notification - the most commonly used Action
Automation allows you to make your customer communication fully automated. By use of it, you can create a unique communication strategy and keep in close touch with your club members. Now, you are able to send a custom-branded welcome e-mail with instructions to set and create a login to Client Portal for a new member. You can send your best wishes to members celebrating their birthday, or remind them about their goals and invite them to visit the club. Also, you can inform them about their bookings, their enrollment to the standby list for a popular class upon a place becomes available or any other changes made in the Time Table. Last, but not least, you can notify your club members of any outstanding payment or credit card expiry date or create your own debt collection process based on an Automation rule available within the system.
An Action allows you to create timed notifications to deliver either an SMS, an e-mail or a Push notification on the Mobile App, for various common member engagement functions, such as:
- Welcome e-mail, which can include PDF copies of member contracts and additional club terms and conditions.
- Ending contracts, inviting to withdraw the contract cancellation and resulting in rising club members retention.
- New Member campaign emails allow for receiving marketing information and encourage to sign the contract in the club.
You can control who gets the messages, how often, and how they receive them to keep your clients informed at the desired levels. With our automated reminders, confirmations, and event messages, you can save time on correspondence and focus on your members where and when they need you most.
An Event occurs when a certain situation happens in the system, for example, a member's birthday creates a Member Birthday Event or when a member comes into the club it will create a club visit Event.
